This page explains how to request deletion of personal data held by Quay, including data received through WhatsApp.

What to include
- The phone number, email address or account the request relates to
- Whether the request is for a specific conversation and its related orders, or for an entire account
- Enough information for us to identify the records — for example the supplier business the messages were sent to
What we delete
Where the request relates to a message sender: the stored message content, attachments, voice recordings and transcriptions, and the associated contact record, together with any order records derived from them that the supplier is not required to retain for accounting purposes.
Where the request relates to a driver: the driver record holding the name and mobile number, and the dispatch instructions, replies and delivery reports held for that driver, except where the supplier is required to keep them for legal, accounting, security or dispute-resolution purposes.
Where the request relates to a supplier account: all message records, order records, contact records, run lists, driver records, dispatch records and account data held for that supplier.
Requests about messages sent to a supplier
If you are a customer of a business that uses Quay and you want your data deleted, you can contact us directly using the details above, or contact that business. Because the business decides what happens to their customer records, we will normally confirm the request with them before deleting, and we will tell you when this has been done.
Requests from drivers
If you carry out deliveries for a business that uses Quay, your name and mobile number, the dispatch instructions sent to you, your replies and the record of what was delivered are held on that business's behalf. You can contact that business directly, or contact us using the details above.
Because that business decides what happens to those records, we will confirm the request with them and then route or action it according to who controls the records in question. Some delivery records may need to be kept to resolve a dispute about a delivery, to meet legal, accounting or security obligations, or to maintain the delivery audit history. We will tell you what has been deleted and what has been kept.
Timeframe
Deletion requests are acknowledged within 5 working days and completed within 30 days.
What we may retain
Records that Quay or the supplier is required to keep by law — most commonly invoice and accounting records subject to statutory retention periods — are retained for as long as the law requires and are not used for any other purpose.
Backups are overwritten on a rolling schedule. Data may persist in backups for a short period after deletion from live systems, and is not restored into active use.
